What data do we collect, why, and on what legal basis do we process your personal data?
The categories of personal data that may be processed include, among others, your name, surname (or, if applicable, middle names), address details (such as street name, house number, mailbox number, postal code, municipality/town/city, country, etc.), contact details (e.g., email address, telephone number, fax number, mobile number, etc.), gender, date of birth, national register number, identity card number, place of birth, delivery address, bank account number, professional category/position, and KBO and/or VAT number.
We process, among other things, the data—mainly your contact information—that you share with us via these forms solely to respond to your requests. We specify in each of our forms the information you are required to fill in to process your request. You are therefore free to share your data with us if it is not marked as mandatory.
If the personal data provided to us was not given through explicit consent, it is necessary for the execution of the contract we are involved in and/or to fulfill the legal obligations that we and/or our client and/or our supplier and/or our employee must comply with. All personal data we process within the scope of our assignment is used exclusively for professional purposes and is processed lawfully, fairly, and transparently.
With whom do we share your personal data?
In general, we try to avoid sharing your personal data with third parties. We only share your personal data with third parties if it is necessary to fulfill your requests and with parties that need to be aware of this data to correctly execute the contract we are involved in and/or if required by law. When we transfer your personal data to a third-party processor, we limit their access to only the data needed to perform their tasks. Additionally, we require all our processors to comply with Data Protection Legislation at all times. Furthermore, we ensure that appropriate measures are taken (e.g., by imposing certain contractual obligations) to guarantee an adequate level of protection of your personal data when our subcontractor processes your data in a country that does not offer the same level of protection as the European Union.
How long do we retain your personal data?
We do not retain your personal data longer than necessary for the purposes for which we collect it, unless a legal obligation requires us to keep your data for a longer period. Personal data is kept for at least the legally required accounting periods. The storage of personal data is secured in a manner appropriate and standard for a company of our size within our sector.
What are your rights and how can you exercise them?
In accordance with Data Protection Legislation, and provided your request meets legal requirements such as proper identification, you may at any time request:
- confirmation that we are processing your personal data and receive a copy of all personal data we process about you (“right of access”)
- to review your personal data and correct it if it is inaccurate or incomplete (“right of rectification”)
- the deletion of your personal data (“right to be forgotten”)
- to restrict the processing of your personal data (“right to restriction of processing”)
- to stop processing your personal data (“right to object”) if we process your data for prospecting purposes
- to receive your personal data in a structured, commonly used, machine-readable format for your own use or to transfer it to another data controller (“right to data portability”)
